Refund and Cancellation Policy

This policy covers entry fees, sponsorships, and fees for publishing a show. It applies to every show on ShowThrottle.
1. Who is refunding you
Entry fees and sponsorship payments are collected on behalf of the organizing club and paid into that club's account. The club is the seller, and a refund of those fees comes from the club. ShowThrottle provides the software that issues it.
Fees for creating and publishing a show are paid to ShowThrottle and are covered separately in section 5.
2. Cancelling an entry
What you can cancel depends on how you paid.

How the 48-hour deadline is measured
The deadline runs from the show's published start time, in Eastern Time, regardless of where you are. If a show lists a date but no start time, the deadline is measured from midnight at the beginning of that date.
So a show on Saturday starting at 9:00 a.m. Eastern has a cancellation deadline of 9:00 a.m. Eastern on Thursday.
The cutoff exists because organizers commit to venues, print materials, and order awards on the counts they have. Cancelling inside the window is not forbidden — ask the organizer, and many will accommodate you. It is just no longer automatic.
3. How to cancel
Contact the show's organizing club. Their contact details are on the show page. They can cancel your entry and issue a refund from within ShowThrottle.
If you cannot reach the organizer, write to support@showthrottle.com and we will help you get in touch. We cannot decide a refund on a club's behalf, but we can make sure your request reaches someone.
4. If a show is cancelled
When an organizer cancels a published show, every paid entry and sponsorship is refunded automatically to the original payment method. You do not need to request it. Refunds are issued as soon as the organizer confirms the cancellation, and appear on your statement within the timeframe in section 7.
If a show is postponed or relocated rather than cancelled, the organizer decides whether entries carry over to the new date or are refunded. They will tell registered presenters which it is.
Weather is a judgment call for the organizer. Car shows go ahead in imperfect conditions all the time, and a rainy forecast is not by itself grounds for a refund outside the normal window.
5. Show publishing fees
Fees paid to Old Dawg Studios LLC to create and publish a show are charged when the show is published and are non-refundable, because publishing is what the fee pays for and it happens immediately.
Two exceptions: if a technical failure on our side prevents the show from publishing, or if you were charged more than once for the same show, write to support@showthrottle.com and we will refund it. Cancelling a show you have already published does not refund the publishing fee, though it does refund your presenters and sponsors as described in section 4.
6. Sponsorships
A sponsorship payment is authorized when you submit it, but not charged until the organizing club approves your sponsorship. If your submission is declined or is not approved before the show, the authorization is released and you are not charged. Depending on your bank, a released authorization can take a few days to disappear from your statement.
Once a sponsorship is approved and charged, refunds are at the organizing club's discretion, except where the show itself is cancelled — in that case section 4 applies and the refund is automatic.
7. How long refunds take
Refunds are returned to the card or account used for the original payment. We cannot send a refund anywhere else. Once issued, most appear within 5 to 10 business days, depending on your bank. The delay after that point is on your bank's side, not ours.
8. Before you dispute a charge
If a charge looks wrong, please contact the organizer or support@showthrottle.com first. Nearly every problem — a duplicate charge, a registration that didn't complete, a show you couldn't attend — is faster to fix directly than through a card dispute, which can take months and can lock the funds while it runs.
9. Changes to this policy
We may update this policy. The date at the top changes when we do. The policy in effect when you registered is the one that applies to that registration.
